Site access, shipments, rackspace policy, on-site facilities & support

Any parcels sent to site should follow the shipment procedure outlined below, with a ticket reference or customer ID clearly identifiable in the address field.

Car Parking

Customer parking is available at the front of the building. If no spaces are available, vehicles may be parked behind existing vehicles in the car park. If you need to do this, please inform reception upon arrival so that we are aware of the vehicle location should access be required.

Site Access

All visits to site must be pre-arranged through an access request with 15 minutes notice provided as a minimum. An access request can be submitted via our customer portal at control.ukservers.com from the Services option on the left menubar → Access Request.

Your request should include the date and time of visit, the full names of all persons requiring access, and the approximate duration of the visit. Once confirmed, you will receive an access reference number which must be quoted upon arrival.

Customers with private rackspace will be provided with full unattended access to their racks, although access remains subject to the standard access procedures outlined above.

Customers with single servers or machines co-located within shared racks will be permitted up to 15 minutes of supervised access at the rack. After this time, the server may be unracked and moved to our build room, where work can be carried out. Network connectivity can be presented there if required. Any further access at the rack would be subject to supervision charges.

Customers with overdue invoices will not be permitted to access the site and/or remove equipment.

Identification

Government-issued photo ID is mandatory. Acceptable forms include a valid passport, driving licence, or armed services photographic identification card. Your ID will be verified upon arrival, after which you will be issued a Proximity Access Pass (PAP) and any necessary keys for the duration of your visit. Any persons not named on the access request, or who cannot present valid identification, will not be permitted access to the facility.

Photography Policy

Customers may take photographs of their own dedicated rackspace only. Photography of other customers’ servers, shared infrastructure, or the wider facility is not permitted. No photography of any kind is allowed in shared co-location racks. Cameras may be confiscated until the owner leaves the site, and visitors found photographing other customers’ equipment or facility infrastructure may be escorted off site without prior warning.

Shipments to Site

We accept deliveries on your behalf at the facility. All shipments must be clearly labelled with your Customer ID (e.g. ABC001) or a ticket reference number so we can identify and securely store your equipment on arrival. We recommend opening a support ticket once your delivery has been ordered, including the items to arrive, expected delivery date, and courier name.

  1. Order your equipment and note the courier and tracking reference.
  2. Open a ticket at control.ukservers.com or email support@ukservers.com with the item details, expected date and courier if known.
  3. Ensure each package is addressed to the site address above, with your Customer ID or ticket reference clearly visible in the address field.
  4. You will be notified once the delivery arrives. We request it is collected or moved to your rackspace promptly to avoid storage charges.

Customs & Imports: Customers are responsible for the payment of any Customs Duty, taxes, or associated paperwork for items imported into the UK.

Storage charges apply after the complimentary free period. All prices are exclusive of VAT.

Single Server Co-Location

Customers using our single server co-location services are asked to ship their server with the manufacturer’s rail kit where possible. If this is not available, the server will be installed using UK Servers universal rail kits at no additional charge, however these rail kits remain the property of UK Servers.

Please do not ship power cables, bezels, manuals, USB media, or other accessories, as we cannot guarantee these items will be returned.

Upon termination of your single server co-location service, UK Servers will provide suitable packaging for the return shipment of your server. We are unable to store or retain original packaging.

We recommend setting your server’s BIOS to “Power On After Power Fail” to ensure automatic recovery after any power event.

If your server is equipped with dual power supplies, please let us know in advanced so that we can ensure it is connected to different distribution strips within the rack and ultimately multiple upstream power sources.

Customers using our single server co-location services have the option of a permanently connected remote management interface at no additional cost, provided their server supports this (e.g. iDRAC, IPMI, iLO, etc.). If you choose to use this facility, we recommend ensuring that the latest firmware is installed and/or requesting that UK Servers place the management IP behind an ACL or firewall for additional security.

We can also provide temporary KVM-over-IP access, using Aten or PiKVM units, for periods of up to six hours upon request. The connection of these devices will be counted as part of your remote hands allowance. If your server uses a non-standard VGA or HDMI output, we ask that you supply and leave connected a suitable adapter so that KVM equipment can be attached when required.

Customers selecting a 10Gb/s network port will be provided with either 10Gb/s Base-T or 10Gb/s single-mode LR fibre connectivity. Customers are required to supply a compatible SFP+ module for fibre connections.

Rackspace Services

Rackspace customers must supply their own rails, network cables, power cables and fixings. Customers are requested to bring tools to site however we have a limited stock of customer tools for emergency use, if you need to borrow these tools then UK Servers will hold your identification as a deposit until the item is returned.

Power Distribution: Customers will be supplied with vertical or horizontal PDUs depending on rack size:

1/2 Rack2 × 17-way C13 outlet PDUs + 1 × UK plug

Each PDU split into two sections, each rated at 16A

One PDU will be black and the other orange. We recommend using different coloured power cables for each PDU to make identification easier. The black PDU should be used for single-corded equipment, as this power feed is supplied from two separate redundant UPS systems and maintained via a static transfer switch. The orange PDU is supplied from a single redundant UPS system. For dual-corded equipment, we recommend connecting one power supply to the black PDU and the other to the orange PDU to maintain power redundancy.

Labels: We recommend rackspace customers clearly label each piece of equipment in their rack. This assists our engineers in identifying hardware should there ever be a need to do so on your behalf.

Assistance: Technicians are always available on site to help with lifting and racking equipment — please do not hesitate to ask. If you require more complex configuration support with server hardware or networking equipment, please request this when raising your access ticket so we can ensure a suitably trained technician is available. In some cases a charge may apply.

Airflow & Containment

Our data halls operate a hot-aisle / cold-aisle containment system. All equipment must be installed so that cool air is drawn from the front of the rack (cold aisle) and hot exhaust is expelled to the rear (hot aisle).

UKServers reserves the right to reposition equipment or apply blanking panels to any rack that violates the containment policy. Where customers do not respond to notices regarding thermal non-compliance, UK Servers may take corrective action on their behalf.

Materials & In-Rack Storage

No cardboard or flammable materials in the data hall. All packaging must be removed after installation. Cardboard boxes and packing materials can be left in the corridor for collection and disposal by UKServers staff.

Items may be stored within your rackspace provided they do not obstruct airflow or present a fire hazard. Items should be stored loose or in plastic containers only. Customers must not bring food or drinks into the data halls.

If you require dedicated storage outside of your rack, small locker spaces are available for a nominal monthly fee — contact our support team to arrange this.


On-Site Facilities

Wi-Fi: Complimentary Wi-Fi is available for customer use during visits. Connection details are available on site from reception.

Build room: A workbench is available for preparation and configuration work. Hot drinks and water are also provided in this area.

Breakout area: Located on the first floor, accessible via the stairs opposite the datacentre entrance ramp, is our breakout garden and library. This space is available for all customers to use at any time. Heating controls are available within the area for customer use. If you require any assistance, please feel free to ask a member of staff.

Trolleys: Available for moving heavy or bulky equipment — these can be borrowed from the Network Operations Room.

Ear protection: The use of ear protection is recommended within the data halls. Free ear plugs can be obtained from reception.

Safety & Conduct

Footwear: Customers must wear appropriate closed-toe footwear when accessing the datacentre floor. Open-toe shoes, sandals, or similar footwear are not permitted for safety reasons.

Hot works: Activities involving soldering, welding, grinding, or any other form of hot works are not permitted within the datacentre or technical areas. If a task requires hot works, this must be approved in advance by UK Servers staff and carried out only in a designated area.

Smoking: Smoking, including the use of e-cigarettes or vaping devices, is not permitted inside the building. A designated smoking area is available at the front of the building, and customers are asked to use this area only.

Fire Procedure

In the event that you discover a fire:

  1. Operate the nearest fire alarm call point by breaking the glass. Call points are located adjacent to fire escapes and most internal doors.
  2. Leave the building immediately using the nearest available fire exit.
  3. Proceed to the Assembly Point by the Main Gate.
  4. Check in with the Fire Marshal.
  5. Do not re-enter the building unless instructed by the incident controller.

Fire Alarm Testing

A weekly fire alarm test is conducted at 11:00 AM every Friday. Customers do not need to evacuate the facility during this scheduled testing period.

Insurance & Accidents

Customers are expected (but not required) to hold their own insurance for equipment co-located on site. UKServers is happy to assist with arranging this if needed.

Any accidents or injuries must be reported to the Network Operations Centre (NOC) immediately and recorded in the on-site accident book.

Waste Disposal

It is the customer’s responsibility to properly dispose of waste, including bulky or unusual items and hazardous waste such as batteries. Cardboard boxes and packaging materials can be left in the corridor for collection and disposal by UKServers staff.
